Job Summary:
We are looking for a talented People Operations Specialist to join our team and help Velixo scale our high-performing team. As a key member of our People Operations team, you will be responsible for the management and support of the operational and administrative functions of recruiting, onboarding, and compliance. The ideal candidate will be able to manage the logistics around the employee lifecycle from hiring to onboarding to growth and development.

Key Responsibilities:
  • Consult with managers regarding business staffing needs and specific job objectives.
  • Assist the team in writing job descriptions and posting on our ATS, ensuring compliance with local laws.
  • Help the hiring team through the recruiting process, including resume review, interview scheduling, screening candidates, and interview preparation.
  • Provide support to the management team in areas such as orientation, benefits, leaves of absence, and performance reviews.
  • Provide management team support and coordination on compensation planning.
  • Ensure that payroll and internal contractors' payments is processed in time and according to contracts in place.
  • Help shape internal culture through the implementation and promotion of user-friendly, accessible policies and procedures that provide a positive employee experience.
  • Manage and process various HR lifecycle transactions such as onboarding, offboarding, and personnel data changes.
  • Enter and maintain data in HR systems to ensure compliance with regulatory standards. Ensure benefits and time-off is tracked appropriately.
  • Respond to team members and hiring managers' inquiries via live calls, e-mails, and other communication formats regarding HR questions, issues, problems, and status changes.
  • Provide team members with accurate responses, resource training, and support in problem resolution regarding company policies and procedures, benefits, and payroll.
  • Provide sound judgment and/or resolution on team member's issues by utilizing resources, i.e., policy, process, and relevant employment laws.
Success Metrics:

Within the first six months of employment, the People Operations Specialist will be evaluated based on the following KPIs:
  • Recruitment and Onboarding: Successful execution of the hiring plan. As we grow and are planning new role openings, you will be responsible for the successful execution of hiring plan.
  • Quality of documentation:  Working with the accounting team, you will be responsible to keep a precise account of the benefits usage by the employees and contractors, their status within the company and any relevant information needed to operate and provide the level of respect and consideration we thrive to provide to our team.
  • Become a trusted business advisor: The management team will be relying on your support to address and guide them through regulatory and personnel issues.
  • Flawless Execution: Ensuring employee and contractors contracts are being respected, are up-to-date and payments are executed on schedule.

Qualifications:
  • Bachelor's degree in human resources management, Organizational Psychology, or a relevant field.
  • Demonstrated success as a People Operations/HR Coordinator and/or Specialist.
  • Excellent communication skills and the ability to prioritize and complete projects within ambitious deadlines.
  • Solid knowledge of HR policies and best practices.
  • Ability to manage and conduct various types of interviews (e.g., structured, competency-based, and behavioural).
  • Familiarity with HRIS and applicant tracking systems.
  • Bilingual in french and english. Portuguese is an asset.
